SPI Rentals – Rules and Regulations

1. Check-in/out Policy: Check-in is at 4:00 p.m. central time. Check out is 10:00 a.m. central time. All keys and garage door remotes (if applicable) must be returned to the SPI Rentals office upon departure. A $50 fee will be charged for each key or garage remote that is not turned in at that time.

2. Smoking Policy: All properties are non–smoking rentals. If evidence of smoking is found inside the property, Tenant will be assessed a $250.00 penalty.

3. Pet Policy: No pets are allowed in or on the premises unless an agent has expressly authorized such use. Some of our properties allow pets with individual pet restrictions. Others do not permit pets in or on the property. There is a  non-refundable pet fee of $125 + tax, per pet. This fee does not cover damage, breakage, or extra cleaning caused by the pet. Additional cleaning fees may also apply, for dog waste not cleaned prior to check out. Prior permission must be granted for pets. Specific rules must be followed. Unauthorized occupancy of pets will result in a $200 fine, immediate eviction, and loss of all rents and security payments.

4. Age Requirements: Tenants must be over the age of 25 to make a reservation.

5. Security Deposit (applicable during the month of March & Semana Santa/Holy Week): This is required in order to rent the property. The deposit is not applied toward rent; however, it is fully refundable within three (3) to seven (7) Business days after departure, provided the following provisions are met:

  • No damage is done to the accommodation or its contents.
  • No charges are incurred due to contraband, pets or collection of rents or services rendered during the stay.
  • All trash is discarded in the proper receptacle.
  • All keys are left at the property or given to the rental manager.
  • All charges accrued during the stay are paid prior to departure.
  • No linens/furniture are lost or damaged in the home/condominium.
  • No early check-in or late check-out.
  • The renter is not evicted by the owner (or representative of the owner), the Rental Agency, the local law enforcement, or the security company.
  • Subject to and not limited to fines from the Association and/or Rental Agency.

6. Damage Waiver: (applicable in all months except March & during Semana Santa/Holy Week): The damage waiver is a mandatory non – refundable fee for all rental guests. The waiver will cover any accidental damage up to $1,000.00. The SPI Rentals accidental damage waiver has certain conditions. The waiver will not include liability for damage or theft resulting from:

  • Intentional acts of a guest
  • Any damage that occurs if you are in violation of the lease agreement
  • Gross negligence or willful and wanton conduct.
  • Any cause, if the Covered Guest does not report the damage to SPI Rentals staff.
  • Does not cover theft of personal property or property belonging to the vacation rental.
  • Damages caused by any pet or other animal brought onto the premises.
  • The waiver applies only to the direct physical loss or damage to covered property. It does not cover the loss of use of such property.
  • Coverage does not apply for theft or damage of any property owned by or brought onto the premises by a covered guest.

SPI Rentals – Terms of Plan

The Plan takes effect at check-in. All coverage shall terminate upon normal check-out time of the property or the departure of the Covered Guest, whichever occurs first.

7. Excess Damage to Property: Rental Agent/Company Representatives reserve the right to charge the Tenants method of payment on file in the event property damages exceed specified damage deposit amount.

8. Payment Policy: 35% of the reservation total is charged at the time of booking and is applied to room rent only. Full payment is required 30 days before arrival. Rental Agency/Company Representatives have the right to automatically charge any credit or debit card on file for any remaining balance on or after the due date. Please make payments in the form of credit card, money orders or cashier’s checks payable to SPI Rentals. SPI Rentals accepts personal checks at our own discretion. There is a $50.00 fee for NSF checks. Rental Agent/Company Representative has the right to cancel the reservation if final payment is not received 30 days prior to arrival unless previous payment arrangements have been made in writing.

9. Cancellation Policy: A sixty (60) day notice is required for Cancellations. Cancellations that are made sixty (60) or more days prior to the arrival date will incur a $150.00 Cancellation fee. Cancellations made within thirty (30) to fifty-nine (59) days prior to arrival date will forfeit the full 35% advance payment and damage deposit (if applicable). Cancellations made twenty-nine (29) days or fewer from arrival will forfeit the full amount of room rent, plus the nonrefundable reservation fee, and applicable taxes. All other paid fees, with the exception of Travel & Rental Protection, will be refunded (see #11 below.) Cancellations, changes to reservations, and/or early departures do not warrant any refund of rent or deposit.

10. Monthly Reservation Cancellation Policy: A ninety (90) day notice is required for all monthly reservation cancellations. Cancellations that are made ninety (90) or more days prior to the arrival date will incur a $150.00 cancellation fee. Cancellations made within thirty (30) to eighty-nine (89) days prior to arrival date will forfeit the full 35% advance payment and damage deposit (if applicable). Cancellations made twenty-nine (29) days or fewer from arrival will forfeit the full amount of room rent, plus the nonrefundable reservation fee, and applicable taxes. All other paid fees, with the exception of Travel & Rental Protection, will be refunded (see #11 below.)  Cancellations, changes to reservations, and/or early departures do not warrant any refund of rent or deposit. If a monthly stay is shortened and no longer qualifies for the discounted monthly rate, the rate will be adjusted according to the rate schedule.

11. Optional Travel & Rental Protection: A travel & rental protection plan can be added to a reservation upon request for a cost equal to 7.000% of the reservation grand total. The 7.000% payment is due in full at the time of purchase and is nonrefundable after 9 days. Optional travel and rental protection is provided by Rental Guardian. Rental Guardian is the direct contact for all trip protection claims and information. Guest must contact them directly.

12. Properties for Sale by Owner: Rental properties may also be on the market for sale by the property owner. In the event a tenant’s rental property is sold and is no longer managed by SPI Rentals, LLC, an alternative property at equal value, determined by Rental Agent/Company Representative, may be offered for the same dates and at the same cost of the original property. If the tenant does not agree to a new property, the reservation will be canceled and a full refund will be provided.

13. Maximum Occupancy: This property allows a maximum of {reservations.unit_max_occupants} guests, including infants & children, at any given time. The maximum occupancy includes infants and children. The maximum occupancy includes the entire property, i.e. driveways, backyard, pool areas, decks, and the entire interior of the home. If extra guests above the maximum occupancy are found on the property, the entire group may be asked to vacate the property. Any security payments and all rent will be subject to forfeiture. During the month of March, security wristbands are issued to all guests. If for some reason a guest loses a security wristband a replacement fee will be charged to the guest. Absolutely no house parties are permitted. Any persons on the property above the maximum occupancy stated, are in violation of this agreement.

14. Inclusive Fees: Rates include a one-time linen-towel setup. We do not offer Towel Exchange. Amenity fees are included in the rental rate.

15. Maid Service: While linens and bath towels are included in the unit, daily maid service is not included in the rental rate. We suggest you bring beach towels. We do not permit towels or linens to be taken from the units. If the tenant would like maid service, the rental agency can arrange accordingly.

16. Personal Items: SPI Rentals, LLC, and company affiliates are not responsible for any personal items left on the property after check out.

17. Pool, Hot Tub and Sauna Areas: Tenants may use the Pool, Hot Tub, and Sauna at their “OWN RISK”. The Owner, Landlord, and Rental Agency are not liable for any injury or death. When a cold front comes through & temperatures drop below 55 degrees the pool heaters shut off. This temperature does not include the wind chill.

18. Vehicle Maximum: There will be a vehicle maximum enforced for all properties. Parking on the grass or street is not permitted. Strict compliance with parking rules is enforced at all times and Rental Manager and the Property Manager reserve the right to have vehicles towed.

19. Evictions: The tenant may be evicted for failure to comply with the rules and regulations of the rental agency, condominium complex, or HOA. In the event of an eviction, the tenant will forfeit all funds paid to the rental company.

20. Late Checkouts: Late checkouts are not guaranteed. Guests may request a late checkout and we will accommodate this request when possible. If the property is not vacated by the designated checkout time the guest may be subject to a fine of 50% of that day’s nightly rate.

21. Rate Changes: Rates are subject to change if tenants stay is shortened, or dates of stay are modified.

22. Falsified Reservations: Any reservation obtained under false pretenses will be subject to forfeiture of advance payment, deposit and/or rental money, and the party will not be permitted to check-in.

23. Hurricane or Storm Policy:  No refunds will be given unless:

a. The National Weather Service orders mandatory evacuation in a “Tropical Storm/Hurricane Warning area” and/or
A “mandatory evacuation order has been given for the Tropical Storm/Hurricane Warning” area of residence of a vacationing guest.

b. The day that the National Weather Service orders a mandatory evacuation order in a “Tropical Storm/Hurricane Warning” area, we will refund:

A. any unused portion of rent from a guest currently registered
B. any unused portion of rent from a guest that is scheduled to arrive, and wants to shorten their stay, to come in after the Hurricane Warning is lifted; and
C. any advance rents collected or deposited for a reservation that is scheduled to begin during the “Hurricane Warning” period.
